Step 1 — Verify Your Zoho Books Plan Supports E-Invoicing

UAE e-invoicing via ASP API integration is supported on Zoho Books Standard (AED 50/month), Professional (AED 175/month), Premium (AED 275/month), and Zoho One (AED 120/user/month). Step 2 — Run a PINT AE Data Field Audit on Your Zoho Books Invoices

Before connecting to an ASP, audit your current Zoho Books invoice output for PINT AE compliance. This is the most important step and the one most UAE businesses skip — leading to validation failures during pilot phase testing that require going back to fix master data.

Check that all customers have TRN numbers in their contact records if they are UAE VAT-registered. Check that all items and services have the correct UAE VAT category assigned — standard 5%, zero-rated 0%, exempt, or out of scope. Check that your company address is structured with separate street, city, and country fields. Check that item unit codes are configured as UN/CEFACT codes in your item master — EA for each, KGM for kilograms, LTR for litres, MTR for metres.

Step 3 — Update Customer TRN Fields in Zoho Books

In Zoho Books, go to Contacts and open each UAE business customer. Under Tax Information, ensure the TRN field is populated with the customer’s valid 15-digit UAE TRN. Customers without TRN fields populated will generate PINT AE validation failures at the ASP — this is the single most common cause of e-invoicing failures for Zoho Books users in the UAE.

Step 4 — Configure UAE VAT Categories on All Items and Services

In Zoho Books, go to Items and check the Tax applied to each item or service. Ensure standard-rated items are set to 5% UAE VAT, zero-rated items to 0% UAE VAT (for exports and zero-rated supplies), and exempt items to Exempt. Mixed-supply invoices — where some line items are standard-rated and others are zero-rated or exempt — must have the correct VAT category assigned per line item, not a blanket rate applied to the whole invoice.

The four UAE VAT categories that PINT AE requires are: S (standard rated at 5%), Z (zero-rated at 0%), E (exempt), and O (out of scope). Your Zoho Books tax codes must map to these four PINT AE codes before your ASP integration will generate valid XML output.

Step 5 — Select and Appoint Your FTA-Approved ASP

33 ASPs have been pre-approved by the UAE Ministry of Finance. Select one based on Zoho Books API compatibility, pricing model (per invoice or monthly subscription), technical support quality, and whether they have a pre-built Zoho Books connector. Submit your ASP appointment paperwork before your mandatory deadline — 31 March 2027 for SMEs and 30 October 2026 for large businesses with revenue above AED 50 million.

Your ASP will provide API credentials after onboarding — typically a client ID, client secret, and endpoint URL — which are needed for the Zoho Books integration in Step 6. Perfonec recommends the right ASP for your Zoho Books plan, transaction volume, and industry.

Step 6 — Configure the ASP API Integration in Zoho Books

In Zoho Books, navigate to Settings > Integrations > E-Invoicing (UAE). Enter your ASP API credentials — client ID, client secret, and endpoint URL. Map your Zoho Books tax codes to the correct PINT AE VAT category codes — S, Z, E, O. Configure your company TRN, structured address fields, and bank details in the e-invoicing settings. Save and test the connection to confirm that Zoho Books can reach your ASP endpoint and return a successful validation response.

If the connection test fails, check your ASP credentials, confirm your ASP onboarding is complete, and verify that your Zoho Books subscription plan supports API integration. The majority of connection failures at this stage are caused by incomplete ASP onboarding rather than configuration errors in Zoho Books.

Step 7 — Test in the Voluntary Pilot Phase

The UAE e-invoicing pilot phase opened on 1 July 2026 and is available to all UAE businesses regardless of their mandatory deadline. Generate test invoices in Zoho Books and transmit them through your ASP. Verify that each invoice passes PINT AE validation and is transmitted through the Peppol network to the buyer’s access point.

Test all invoice types your business uses — standard commercial invoices, credit notes, advance payment invoices issued at the time of deposit receipt, zero-rated export invoices, and exempt supply invoices. Resolve every validation error before your mandatory go-live date. Errors discovered during the pilot carry no financial penalty. Errors discovered after your mandatory go-live date carry penalties of AED 100 per non-compliant invoice.

Use the pilot phase. Even if your mandatory deadline is July 2027, enter the pilot now. The pilot is a live environment — real invoices through real ASPs through the real Peppol network — but without financial penalties for technical failures. It is the safest way to identify and resolve configuration errors before your deadline.

Step 8 — Go Live

From your mandatory go-live date, all B2B invoices created in Zoho Books must be transmitted through your ASP automatically. Train your accounting team on the new workflow — invoices are created in Zoho Books as normal, but now automatically flow to the buyer via the Peppol network instead of being sent as PDF email attachments. PDF invoices alone are not legally valid B2B invoices after your mandatory go-live date.

  • Missing buyer TRN in Contacts — the most common Zoho Books e-invoicing error. If your customer is UAE VAT-registered, their 15-digit TRN must be in the Tax Information section of their Zoho Books contact record.
  • Single-line address format — PINT AE requires structured address fields (street, city, country code). Zoho Books single-line address entries in the customer contact record will fail PINT AE address validation. Fix by editing the address to use structured fields.
  • Missing UN/CEFACT unit codes on items — PINT AE requires a unit code on every invoice line item. Items in Zoho Books that have no unit of measure assigned will generate validation failures. Configure the unit field for every item in your Zoho Books item master.
  • Incorrect VAT category mapping — Zoho Books tax codes must map to the four PINT AE VAT category codes (S, Z, E, O). Businesses with custom tax codes not mapped to these four categories will generate category code errors at the ASP.
  • Currency field errors on export invoices — zero-rated export invoices in foreign currencies must include both the transaction currency amount and the AED equivalent. Zoho Books foreign currency invoices that only show the foreign currency will fail PINT AE currency validation.
  • Advance payment invoices not set up correctly — under UAE E-Invoicing Guidelines Version 1.1, a formal electronic tax invoice must be issued when an advance payment or deposit is received — not at the time of final delivery. Most Zoho Books implementations do not have this invoice type configured.
